Group Classifications: New “Restrict Site & Space Availability” and “Custom Approval Paths” features

Save even more time with these two new Group Classifications features.

Automate even more of your district’s Facility Use Request process with two new Group Classification features in ML Schedules™ Software.

Restrict Site/Space Availability

This new feature allows District Admins to limit the availability of sites (buildings) and spaces (facilities) to select Group Classifications.

For example, a district may want to restrict the use of select classrooms to internal district groups. This new feature lets Admins select which sites and spaces can be seen by which Group Classifications.

This setting is available to Admins in the Manage Sites and Manage Spaces screens accessible from the District Admin menu.

Custom Facility Request Approval Paths

District Admins can also now customize Facility Request approval paths by Group Classification.

For example, a district may require multiple approvers for Requests submitted by external community groups while Requests from internal district groups require only one approver. This new feature lets Admins set different approval paths by Group Classification for the same space.

This setting is available to Admins in the Manage Spaces screen accessible from the District Admin menu.

Submit Recurring Requests for Multiple Spaces

Now ML Schedules™ K12 Software users can submit recurring Facility Use Requests for multiple spaces at the same time.

For example, you could submit a recurring request for a weekly event that requires a High School gym, cafeteria, and pool by:

  1. Selecting the Daily Recurring Request option.
  2. Search for and select the High School Gym as the first desired space,
  3. Select HS Cafeteria from the Add Another Space drop-down menu and check availability.
  4. Repeat step 3 for the HS Pool.

You can also easily delete an Additional Space prior to submitting the Request.

The Recurring Requests for Multiple Spaces feature is available to both internal district and external community groups.

New Request Space button in Manage Group Classifications screen

Admins can easily submit Requests on behalf of internal district Groups using the new Make Request button in the Manage Group Classifications screen.

ML Schedules™ Software just made it easier for District Admins to submit Facility Use Requests on behalf of internal district Groups (i.e., those Groups designated with an internal Group Classification).

When an Admin selects the new Make Request icon () from the Manage Group Classifications screen, the resultant Facility Use Request form displayed will be have the internal Group already completed.

We hope our district Admins find this new feature to be a time saver when submitting Requests on behalf of internal Groups.

Limit Sites and Spaces to specific Group Classifications in ML Schedules™ Software

Now District Admins can limit the availability of specific sites and spaces to certain Group Classifications in ML Schedules™ Software.

School districts often want to limit the availability of certain sites (buildings) and spaces (facilities) to specific Group Classifications such as internal district Groups.

ML Schedules™ K12 Facility Request Software now provides the ability for District Admins to designate certain sites and spaces are only available for designated Group Classifications.

Require Group Classification to submit a Facility Request

ML Schedules™ Software allows school districts to require that a Group is assigned a Classification before the Group can submit an online Facility Use Request.

Districts that use Group Classifications in ML Schedules™ Software to further automate the Facility Request process will be happy to hear about the new Require Group Classification setting.

This district-wide field allows Admins to require that a Group be assigned a Classification before a Facility Request can be submitted. If a Group Manager submits a Request without having a Group Classification, he/she will receive an automated email message noting that that the Request cannot be submitted until a Classification is assigned by the district.

District Admin Control Over Groups

ML Schedules™ Software District Admins can edit almost any aspect of a Group including name, assigned Classification, and more.

ML Schedules™ K12 Facility Request Software provides District Admins with the ability to have complete control over Groups that use the software at their district.

This feature allows District Admins to:

  1. Create a new Group (see Note below).
  2. Edit existing Groups (all fields except name and e-mail).
  3. Assign a Group Classification.

Note: If a user with same e-mail address already exists it will put new Group under them; otherwise a new User account will be created and assigned as Group Manager for the new Group.

Set Flat (per Event) or Hourly Facility Usage Fees by Space

ML Schedules™ Software provides districts with the ability to set Facility Use Fees by hour or per event (flat fee).

ML Schedules™ K12 Facility Request Software provides District Admins with the ability to setup one of two different types of Facility Usage fees:

  • Flat Rate Space Fees Per Event or
  • Per Hour Space Fees.

These rate types and associated fees can be entered:

  • During the space setup procedure, or
  • Using the Edit Space command.

District users must be assigned a District Admin role to set Facility Usage fees.

Create a Custom Field and Assign to a Facility Use Request Form By Space

Create three types of custom fields—text, numeric or yes/no—and assign them to an online Facility Use Request form by Space or Spaces.

ML Schedules™ K12 Facility Request Software allows District Admins to create customized fields to be included in an online Facility Use Request form associated with a specific Space or Spaces.

While ML Schedules™ Software includes more than 20 standard Request form fields in three categories (Additional Information, Equipment and Personnel), school districts sometimes need to add a unique non-standard field to a Request form.

For example, an Auditorium may have specific equipment/setup options that can only be requested at that space. The district could create a custom Equipment field called “Spotlight” and associate it with the Facility Use Request form for the Space named “Auditorium.” Unless specified by the Admin, this custom field would not appear on Request forms associated with any other district Space in ML Schedules™ Software.

Add Additional Contacts to an ML Schedules™ Group & Notify of Event Status

Create Additional Contacts for Groups that are automatically notified of status changes in Requests submitted on behalf of their Groups.

A Group Manager can choose to add Additional Contacts to a Group who are notified when a Facility Use Request is submitted, approved, declined or put on hold.

The Additional Contacts are not required to have an ML Schedules™ Software account as they are only receiving status updates versus actually submitting Requests themselves.

This feature allows an organization to have a limited number of people submit Requests at a district while notifying Group contacts of changes in Requests effecting their Group.
