New Provider Admin “Terms & Conditions File” upload feature

For many K12 school districts, the length of their Facility Use Terms and Conditions can easily exceed the character limit of the free-text field available from ML Schedules™ Software’s Provider Admin screen.

To remedy this issue, a new Terms & Conditions File field is available from the Provider Admin screen where a file can be selected that users can then view as part of the Facility Request process.

Note that the Terms & Conditions Text field is still available to add notes relating to the particular request. E.g.: “Please review the Pool Policy on page 5 of the Terms and Conditions file by selecting the link above.”

Best Practice: Avoid posting your district’s Terms and Conditions file as a Microsoft Word™ document as some users may not have the application required to open the file. Adobe PDF files are the preferred format as Adobe Reader™ is installed on almost all computers.

New ML Schedules™ Provider Admin Settings including Adult & Children Fields

To help K12 school districts capture more data on Facility Use Request forms, ML Schedules™ Software is pleased to announce immediate availability of the following new Provider Admin fields:

Additional Field Information

  1. No. of Adults
  2. Charge for Adult Admission
  3. No. of Children
  4. Charge for Child Admission
  5. Outside Company/Vendor
  6. Sponsoring Organization Name

Equiment Information

  1. Porta Potty
  2. Bleachers
  3. Light/Sound Board

Like all optional fields, ML Schedules™ Admins can opt to either Show or Hide these new fields on a district-wide basis.

ML Schedules: New Reservation Manager Capabilities

Reservation Managers in ML Schedules™ K12 Facility Request Software can now override the following Provider Admin settings when making a Facility Request:

  • Days Notice to Reserve
  • Days in Future Allowed

These new capabilities allow Reservation Managers to make Requests on behalf of their own or other Groups regardless of the settings made by the Provider Admin.

New Provider Admin “Equipment” and “Personnel” Fields

There are five new fields now available from the Provider Admin screen that can be set to appear on all district Facility Use Request forms as shown below.

New Equipment Fields
  • Air Conditioning
  • Event Signage
  • Event Directions
New Personnel Fields
  • Event Administrator
  • Event Disciplinarian

Add District logos to Report PDFs

ML Schedules™ K12 Facility Request Software Admins can now specify a logo to appear in all Reports when printed to PDF format.

The logo file is selected via the Provider Admin screen using a standard file navigation dialogue screen. Once the file is uploaded and the Save button is selected, the logo will appear on the Provider Admin screen as well as in all Reports that are printed as PDF files.

The optimal logo dimensions in pixels is 60 high by up to 500 pixels wide.

New MLS District User Roles

4.1.1

ML Schedules™ Facility Use Request Software now includes Reservation Manager and Additionally Notify as two new District User Roles.

ML Schedules™ Software now includes four different roles for internal District users:

  1. Provider Admin (existing). Can now have more than one Provider Admin.
  2. Reservation Manager (new). New District role that can approve any Facility Use Request regardless of site or space.
  3. Space Approver (existing). Same as current role based on a specific site or space.
  4. Additionally Notify (new). New role with two ways for Admins to assign: Per Space or Per Event.
